POSITION: Archive Specialist I

DEPARTMENT: Clerk/Auditor

SALARY: $13.61 – $20.99/Hour (Salary commensurate with experience)

JOB SUMMARY: Under general supervision from an administrative authority, performs entry level duties in preparing, preserving, and maintaining County records.

EXAMPLE OF DUTIES (Any one position may not include all of the duties listed, nor do the listed examples include all duties which may be found in positions of this class). Enters data from documents (handwritten and typed) for preparation and preservation of records. Enters records into the computer for inventory and retrieval processes; segregates pertinent information from non-critical information and enters data. Prepares documents within files by segregating, purging, and copying for scanning and microfilming. Properly handles sensitive and confidential information and records. Files, indexes, retrieves, maintains, and disposes of County records appropriately; indexes film by identifying numbers for internet access. Understands and adheres to unique methods of records preservation and retrieval using the following processes and/or equipment: Archive Writer hardware/software; scanning; microfilming; ProScan 3000; EF5000; and other equipment as technology changes. Checks resolution, lighting, density, reduction ratio, and sharpness and completeness of images. Determines proper light exposure for automatic and manual controls on cameras, scanners, and other equipment. Cleans and maintains equipment. Scans documents, reports, and maps using the computer and County software. Films County documents using cameras and/or archive writers; creates film from the archive writer with approved document images using the computer program; proofreads film. Copies documents, film, and fiche for County departments and the public. Files, retrieves and re-files records requested by County departments. Delivers files and requested records to appropriate departments. Repairs damaged documents, maps or books as directed. Assists with moving, retrieving, shredding, and storing of hard copy records and microfilm. Re-box and label records for transfer to Records Center and for proper destruction. On a regular basis, travels to the Utah State Archives to drop-off and pick-up film. Checks archived microfilm for redox problems and assists in restoring damaged film. Assists in restoring and preserving historical documents. Performs problem solving in the absence of the supervisor. Works effectively in an open workroom environment in close proximity to other employees. Ensures doors are locked to prevent unauthorized entry and to keep records secure at all times. Maintains record of all work performed in the records work unit. May perform specialized clerical and election duties within the Clerk/Auditor office. Operates a motor vehicle in a safe manner and in compliance with all Utah laws and regulations. Performs related duties as assigned.

MINIMUM QUALIFICATIONS: High school graduation, plus two (2) years of full-time clerical employment; an acceptable combination of education and experience may be considered. Preference for related records preservation experience.

SPECIAL QUALIFICATIONS: Employees driving a personal or a County vehicle for job related travel must possess a valid driver license and must operate a motor vehicle in a safe manner; new employees with an out-of-state license must obtain a valid Utah Driver License within sixty (60) days of hire date (exceptions for military personnel and their dependents). Employees driving a personal vehicle while on county business must maintain the minimum vehicle liability insurance as specified in the Utah Code.
