Full-Time Marketing and Events Coordinator
Actively promotes and recruits for the rental and use of the Cache Event Center facilities and ancillary services. Provide interested parties with all pertinent information regarding fees and rules, regulations and agreements governing the use of facilities. Rent buildings and grounds to individuals, clubs and groups; ensure rental agreements are completed and signed; collect rent, deposits, and proof of insurance. Develop marketing materials to promote use of the Event Center and Fairgrounds.
Contact businesses, groups, clubs, individuals, etc. to promote rental of the Event Center and Fairground facilities for their respective events and activities. Work cooperatively with the Cache Valley Visitors Bureau in finding ways to promote tourism and special events.
Work closely with event promoters and renters to determine specific needs regarding set-up, operation and take-down of the events. Work closely with Event Center and Fairgrounds staff to ensure buildings and grounds are properly prepared for the renter or promoter.
Coordinate scheduling of events including, but not limited to: car shows, horse pulls, barrel races, demolition derbies, seminars, sports competitions, community events, wedding receptions, private events, etc. Determine space, equipment, and labor requirements for proposed activities. Provide for and coordinate specialized labor and/or equipment needs when necessary. Oversee the preparation of facilities for special events including set-up, take-down/clean-up, and rapid reset for back-to-back events.
Monitor employee performance related to specific tasks, safety, and other areas of concern; make decisions and carry out a variety of personnel actions affecting retention, promotion, discipline and discharge. Conduct staff planning and training meetings. Instruct staff in operational and policy procedures to ensure strict adherence to performance standards.
Provide annual budget preparation and budget oversight relating to the Cache Event Center. Assist with Fair and Rodeo Board functions.
Work extended flexible hours, including evenings, weekends, and holidays during events and rental activity as necessary to assure the success of the event. Work extended hours during the annual County Fair and Rodeo.
Operate a motor vehicle in a safe manner and in compliance with all Utah laws and regulations.
Work with the Cache County Sheriff’s Office to determine appropriate law enforcement and security services for large events.
Perform related duties as required.
Education and Experience:
Graduation from college or university with a Bachelor’s Degree in Business Management, Marketing, Parks/Recreation or related field AND two years of experience performing related duties OR an equivalent combination of education and experience.
Considerable knowledge of: event planning and coordination; recreational activities and events; building utilization and scheduling; use of contracts; budgeting revenue collection. Working knowledge of: concepts of public relations and effective marketing techniques; local and regional business community and organizations; operational procedures of an arena/stadium facility; and physical requirements in staging special events,
Skill in: public relations/communication; operating common office equipment including a multi-line telephone and copier; operating applicable computer hardware and all applicable software applications/programs. Understanding of and ability to operate audio, visual and other multimedia equipment
Ability to: track event budgets and goals; make oral presentations to community groups; coordinate and follow through on multiple tasks; coordinate and implement a variety of events; interpret, read, and work from sketches, diagrams, and contracts; make cost estimates of time and materials needed for projects; work a flexible schedule (including evenings, weekends and holidays)
